Working with Tap AI

Work with the supplier Agent

Use the supplier Agent to triage RFPs, prepare private Avail and Post-Buy drafts, manage inventory and deals, and find grounded help without surrendering final authority.

3 min readUpdated

The supplier Agent helps sellers understand incoming work and prepare private drafts. It uses the signed-in person, active supplier workspace, permissions, current page, and relevant Tap records as context.

It does not replace the people responsible for commercial commitments. The Agent cannot submit Avails, publish a deal, confirm or decline an Order, or communicate a commitment on your behalf.

Good requests to give the Agent

Ask for one concrete outcome and identify the relevant Property, RFP Exchange, deal, or reporting period. For example:

  • “Show the incoming RFPs that need action this week.”
  • “Summarize the request on this RFP Exchange and identify missing response inputs.”
  • “Prepare a private Avail draft from the attached rate card.”
  • “Stage the latest Post-Buy delivery figures for review.”
  • “Create a draft deal for this Property and add the proposed Avails.”
  • “Find the guide page that explains a stale Avail draft conflict.”

On an RFP Exchange or Supplier Property page, the Agent can use that current-page scope to avoid mixing records from another Property.

RFP and Avail work

The Agent can list incoming broadcast RFPs, read the immutable buyer request, inspect the current private Avail draft, and autosave a private working draft. It can use attached files and Property Memories to ground rates, schedules, projections, and notes.

An autosaved draft remains private. A person with Submit Avails permission must review and send it. See Prepare, revise, and submit Avails.

Post-Buy work

On an active exchange, the Agent can read the Post-Buy context and stage a private delivery draft from the information you provide. Review the reporting period, source, totals, and notes before submitting the finished report through the product.

Inventory, routing, deals, and Memories

Subject to your permissions, the Agent can:

  • list, create, and update Supplier Property records
  • work with routing rules
  • create and save private deal drafts and add Avails
  • search a Property's uploaded knowledge
  • save, link, or forget durable Memories
  • search the user guide and read a relevant guide page in full

Sensitive or destructive changes may pause for your approval. If a command is not available, the Agent should explain the missing permission or context instead of pretending the action succeeded.

Files and citations

Attach the file that supports the task, then state how it should be used. The Agent can read supported workspace files and use supplier Property knowledge when an exact Property scope is active.

Treat extracted figures as a draft until a person verifies them against the source. Ask the Agent to name the source used for a rate, projection, or delivery figure. Uploaded Property files remain part of the supplier workspace and should not be described as buyer-visible unless the product explicitly marks them public.

Recover when the answer is incomplete

If the Agent uses the wrong record or gives a vague answer:

  1. Name the exact RFP Exchange, Property, deal, or Order.
  2. Open that page and ask again.
  3. Attach the source file or upload it to the relevant Property.
  4. Ask the Agent to read the matching guide page in full.
  5. Review permissions if the required command is unavailable.

Never paste passwords, API credentials, payment details, or information your organization is not allowed to share.
