Import buyer or supplier contacts from a CSV to speed up choosing RFP recipients, messaging known contacts, and selecting recipients for private Deals.

Why import contacts

Selecting who receives an RFP, or knowing who's asking about one, is faster when Tap already has the right people in its address book. Importing a CSV adds many contacts at once instead of adding them one at a time, which matters most the first time you set Tap up or when a team's contact list changes at once.

Both sides use the same CSV pattern: paste or type a file, preview the outcome for every record, then import. Buyers can also add or edit contacts individually. Suppliers currently add and update customer contacts through CSV import.

For buyers

Open Contacts and choose Import CSV. In the Import contacts from CSV sheet, paste or type your CSV, then choose Preview to see the outcome for each record before anything saves.

Required columns: email and supplier. Optional columns: first_name, last_name, station_property, title, notes.

The supplier value is matched by name, case-insensitively, against a supplier organization already in Tap. Add station_property to link a contact to one property at that supplier instead of the supplier's org-level default. If the supplier or property name matches more than one record, or matches none, that record returns an error and is skipped. The rest of the file still imports.

Re-importing the same email under the same supplier and property updates that existing contact instead of creating a duplicate. Once imported, these contacts are available on the recipient picker when you send an RFP, so choosing who receives it doesn't mean retyping every email.

For suppliers

Open Contacts in the supplier app and choose Import CSV. In the Import contacts from CSV sheet, use the same paste, preview, and import steps.

Required columns: email and customer. Optional columns: first_name, last_name, title, notes.

The customer value must match the name of an agency or client brand organization already in Tap. When the email also matches an active member of that organization, Tap links the contact to their account so they can receive messages and private Deals. An unmatched contact still saves as address-book only and cannot receive either in Tap yet.

A customer name that matches no organization, or more than one, returns an error for that record without blocking the rest of the file. The same email and customer combination appearing twice in one CSV also returns an error, since Tap can't tell which entry should win. Re-importing a contact that already exists updates it instead of duplicating it.
