Create a media plan

Turn a campaign outcome, client context, budget, dates, markets, and source material into an editable plan.

What a plan does

A Plan is the buyer's campaign-planning workspace. It holds the shared facts your team and the Tap Agent use before and during the transaction. One Plan can contain several RFPs, including separate requests for different markets or media.

Creating a Plan does not contact a supplier. It creates buyer-owned planning context. If you also ask Tap to prepare RFP drafts, those drafts remain private until an authorized buyer sends them.

Gather the useful inputs

You do not need every field to start. The following inputs make the next step faster and more accurate:

Product and Ref NumberAdds optional Client Product Estimate context when your agency uses it. These fields do not block RFP work.
Brief or source filesGives the Tap Agent evidence for the objective, constraints, research, and other confirmed facts.

Create the Plan in chat

  1. Open a new chat

    Go to Home and choose New chat. You can also select Start a new media plan from the getting-started view.

  2. Lead with the outcome

    Describe what the campaign should achieve and who it should reach. Add the Client, markets, flight dates, and budget in the same message when they are known.

  3. Attach supporting evidence

    Upload the brief or deck when the details should come from an existing source. Tell Tap which facts are approved and which are still open for recommendation.

  4. Ask Tap to create the Plan

    Tap creates a buyer-owned draft and connects it to the conversation. If you want planning only, say that clearly. If you want RFP drafts too, name the markets and media you want prepared.

  5. Review the Plan artifact

    Check the structured details against the source. Correct material assumptions before they flow into an RFP.

Example prompt

Create a draft Plan for a regional product launch. The objective is qualified awareness among adults 25 to 54. The flight should run from October 5 through November 1 in two priority markets. Use a working media budget of $80,000. Keep this as planning work until I review the RFP drafts.

This prompt gives Tap a clear outcome, audience, dates, geography, budget, and authority boundary without pretending that supplier rates or availability are already known.

Review Plan details

Open the Plan's Details stage to review and edit the fields currently available in the buyer workspace:

  • Plan title;
  • Brand;
  • Product, when needed;
  • Ref Number, when needed;
  • budget in US dollars;
  • flight start and end dates;
  • objective.

Details save automatically. Watch for Saving changes, Changes saved, or an error message before leaving after a consequential edit. The Plan title cannot be blank, the budget must be zero or more when supplied, and the end date cannot be before the start date.

Use the Tap Agent to add or update grounded markets, audience context, and other planning facts that are not direct fields in the Details form.

Use Client, Product, and Ref Number correctly

Brand, Product, and Ref Number are connected fields, but only the Brand is useful as general Client context.

  • Choose an existing Brand when it already represents the Client.
  • Tap can create and assign a new Brand from a grounded Client name. A website is optional.
  • Product is optional and belongs beneath the selected Brand.
  • Ref Number is optional and contains digits only.
  • A full Client Product Estimate appears only when the selected Brand has a Client Code and the Plan has both a Product and Ref Number.
  • Missing Product or Ref Number never blocks an RFP draft, send, or revision.

Decide whether the Plan is ready for RFP drafts

A complete Plan and a sendable RFP are different standards. Before asking Tap to prepare the full requested RFP set, confirm:

  • the campaign objective;
  • exact flight start and end dates;
  • one or more target markets;
  • the intended media for each request;
  • enough audience context to choose the primary demographic;
  • which facts are approved and which are still assumptions.

A budget helps Tap recommend allocations and goals, but a missing budget should produce an incomplete draft, not invented commercial values. Product and Ref Number remain optional. Supplier recipients are chosen and reviewed as part of the RFP, not the Plan.

Keep the Plan and RFP boundary clear

The Plan is living buyer-side context. A sent RFP revision is an immutable record of what suppliers received.

Changing the Plan later does not silently rewrite an already sent RFP. If a material request detail changes, review the revised RFP and explicitly resend a new revision. This preserves the history each side acted on.

Find and organize Plans

Use Campaigns in the main navigation to open the Plans list. From there you can:

  • search by Plan name, Brand, Plan ID, or folder;
  • filter active work by All plans, Planning only, or Plans with Orders;
  • organize Plans in Client folders;
  • archive a Plan and restore it later;
  • permanently delete an unsent draft Plan after reviewing the warning.

Sent requests and Orders cannot be deleted through the draft cleanup action. Archive retained work when you want it out of the active view without destroying transaction history.

Handle common planning gaps

The budget is not approved

Leave it open or provide a clearly labeled working range. Ask Tap to show the assumptions behind any recommendation. Do not present an estimate as approved spend.

The Client has no Product or Ref Number

Continue. Both are optional. Add them later if your agency needs a Client Product Estimate for invoice matching.

The Tap Agent made an incorrect assumption

Correct it in chat or edit the matching Plan detail. Check the saved state before drafting requests that depend on the change.

You need another scenario

Ask for a distinct Plan when you want an independently reviewable option. Do not overwrite approved facts in an existing Plan just to explore a materially different scenario.
