Invite agencies and buyers

Invite a buyer contact and their agency to Tap, understand the three-month fee-free offer, and manage each invitation.

Bring an agency onto Tap

If you manage a publisher workspace, you can invite a buyer you already work with and name the agency they represent. The invitation gives that buyer a direct path to create or open their agency workspace in Tap.

This is different from inviting a supplier teammate. A buyer invitation is for someone at an agency who books media with your publisher. A team invitation gives a coworker access to your supplier workspace.

Check your access and invitation details

You need Organization settings permission in the publisher workspace to send and manage buyer invitations. If you can view company settings but cannot invite a buyer, ask a teammate who manages organization settings.

Have these details ready:

  • the agency name;
  • the buyer's email address; and
  • the buyer's first and last name, if you know them.

The buyer's name is optional. The agency name and email are required. The invitation is bound to the email you enter, so the buyer must create an account or sign in with that same address to accept it. A pending invitation expires after 30 days.

Send the buyer invitation

You can start from the invitation banner on Contacts, or open Settings, choose Organization, and find Buyer invitations.

  1. Choose Invite a buyer

Tap opens the buyer invitation form. Only teammates with Organization settings permission can use it.

  2. Enter the agency and buyer

Add the agency name and buyer email. Add the buyer's first and last name when they are known so the invitation is easier to recognize.

  3. Send the buyer invitation

Tap emails an invitation that is valid for 30 days. Sending the invitation does not start the fee-free period.

  4. Share the link if needed

After the invitation is created, copy its invitation link and share it directly with the intended buyer. If the email could not be sent, retry the email or use the link instead.

Tap allows one pending invitation from your publisher to the same email at a time. Manage the existing pending invitation instead of sending a duplicate.

What the buyer does

The buyer opens the invitation and uses the email address it was sent to. A new buyer can create an agency account. Someone who already uses Tap can sign in and accept from their existing agency workspace.

Before activating the offer, the buyer confirms the agency name. Acceptance starts the three-month period immediately. It does not add the buyer to your supplier team, expose supplier-private Memories, or give the buyer supplier permissions.

An agency can activate this fee-free offer from a given publisher once. A later invitation from the same publisher does not restart an offer the agency has already used.

Track and manage invitations

The Buyer invitations list in Organization settings shows the agency, recipient email, relevant date, and current status:

StatusWhat it means
PendingThe invitation can still be accepted before its expiry date.
Fee-freeThe buyer accepted, and the agency's three-month offer is active.
ExpiredThe buyer did not accept within 30 days.
Offer endedThe accepted three-month period has finished.
RevokedA teammate stopped the pending invitation before acceptance.

For a pending invitation, you can copy the link again or revoke it. Revoking stops the current link from working. If an invitation expires, create a new invitation when the buyer is ready.
